Privacy, plainly.

How this website handles search, listening, guest materials, sign-in, analytics, and external links.

Searching the show

Your question and the full published transcript archive are sent to OpenAI’s GPT-6 Luna through OpenRouter to select relevant passages. The excerpts you see are copied from the published transcripts. Please keep private or sensitive information out of your question. Search questions appear in the page URL and may remain in your browser history.

Site hosting

This website is hosted through ChatGPT Sites. Hosting and AI providers handle requests under their own privacy policies. This website does not maintain a search-history database or require a listener account.

Listening and external links

Audio streams from the podcast host. Links to podcast apps, host websites, and LinkedIn open those services, which have their own privacy practices.

Guest materials and admin access

To prepare and share guest materials, we keep guest names, email addresses, professional details, recording and release information, and the files supplied for that work. These files may include transcripts, portraits, supporting documents, artwork, and finished clips. Guest records, packet versions, activity records, and delivery details are stored in a private Cloudflare database; uploaded and generated files are stored in private Cloudflare object storage.

Named admin accounts can manage these records and files. Each guest account can access the materials published for that guest. Draft packets require admin approval before publication in the guest portal. Publication and sending an email notification are separate actions. Publishing a packet to a guest portal does not publish it on the public podcast website.

Email sign-in and session cookies

Guest and admin sign-in uses an email link that expires and can be used once. After sign-in, a session cookie keeps you signed in and lets the server check your access. This cookie is required for the private portal and admin workspace; it is not an analytics or advertising cookie. Signing out ends that session.

Preparing materials with AI

When an admin requests a packet, the selected source files and relevant guest and episode details are processed by our local packet worker. The worker uses OpenAI through a ChatGPT-authenticated Codex session to help draft the materials. Draft content and rendered previews may also be sent to OpenAI for review. Admins review the resulting packet before approving and publishing it for the guest.

Guest emails and delivery records

We use Resend to deliver sign-in links and guest notifications. This sends the recipient’s email address and the email content to Resend. We keep email records, provider identifiers, and delivery status, including failures, bounces, and complaints, so admins can check what happened to a message. An admin can also record materials delivered outside this system without sending another email.

Website analytics

We use Cloudflare Web Analytics to understand visits, popular pages, referring websites, visitor countries, device types, and page performance. It does not use analytics cookies or identify individual visitors. Cloudflare does not log URL query strings in Web Analytics, including the search question in this site’s URLs. We do not use advertising trackers. Guest portals, admin pages, sign-in callback pages, and local test pages are excluded from this site’s analytics. Read more about Cloudflare Web Analytics.

Contact

You can contact Jim or Veer on LinkedIn with questions about this site. This site does not collect contact submissions.

For questions about your guest information, corrections to your materials, or a request to revoke portal access, email veer@functionalexecutives.com. Revoking portal access prevents further sign-in and access through that account; it does not remove copies someone has already downloaded.
